Getting started

How long does setup take?

The setup wizard has ten steps (company profile, brand, services, service areas, team, hours and tax, phone and AI receptionist, payments, website, go live). Most companies can publish a website and create their first job in under an hour; the optional steps can be finished later from Settings.

Is there a free trial?

Yes. New companies start on a trial of the length set on the plan (14 days on the public plans). No card is needed to start; you choose a plan from Settings → Billing before the trial ends.

Can I import my customers from another system?

Yes. The Import data page (under Settings) accepts CSV files for customers, parts (with opening stock) and equipment. Every row is validated and previewed first; nothing is saved until you confirm. Jobs and invoices from an old system are not imported today — keep those exports alongside.

Do I need to be technical?

No. The office works in a browser, technicians use their phone's browser (no app store install), and the website is built from your data. The only technical steps are DNS for a custom domain and pasting Twilio keys if you want calling.

Website & domain

Can I use my own domain?

Yes, on plans that include the custom domain feature. Add the domain under Settings → Domains, create the DNS record shown, and it is verified and re-checked automatically. Until then your site and portal live on your-company.servivolt.com.

What if I already have a website?

You can keep it and point only a sub-domain (for example book.yourcompany.com) at the request form and portal, or move the whole site over. Service and service-area pages, FAQ schema and the sitemap are generated for you either way.

Is the website SEO-friendly?

Each service and each service area gets its own page with structured data (LocalBusiness, Service, FAQ), canonical URLs on your primary domain, a sitemap and robots file, and per-page titles and descriptions you can edit.

Phones & AI

Do I get a phone number?

Plans include a number of provisioned phone numbers, and extra numbers are an add-on. Numbers are provisioned through Twilio; you connect your own Twilio account under Settings → Phone. Existing numbers can be forwarded to the platform number.

Who answers the phone?

Your office, through desk phones or the browser softphone, during the hours you set. Outside those hours, or when nobody picks up, the AI receptionist can answer, triage and create a request — if you enable it and complete its go-live checklist. It can transfer hot calls to a number you choose.

What are AI minutes?

The time the AI receptionist spends on calls. Plans include a monthly allowance (see Pricing); use beyond it is metered per minute. Voice minutes for regular calls and SMS segments are metered the same way.

Are calls recorded?

Only if you switch recording on for your company. You control whether a disclosure message plays and how many days transcripts and recordings are kept before automatic deletion. Recording consent laws vary by state; have your practice reviewed by an attorney.

Does the AI tell callers it is an AI?

The assistant's instructions include disclosing that it is automated; the exact wording is editable in the Assistant Manager. Review it with your attorney for your jurisdiction.

Field & office

Do technicians need a special app?

No. The technician portal runs in the phone's browser at your company's address and is designed for one-handed use: big targets, call and directions buttons, photos, notes, parts used and My Truck.

Can technicians create estimates in the field?

Yes, when the 'Technician estimates' switch is on. They get the catalogue prices; only the office can override prices or create customer records from an estimate.

Does it track inventory per truck?

Yes, on plans with truck inventory. Every truck is its own location; parts used on a job are deducted from that truck; PAR levels, restock requests, transfers and a low-stock digest keep trucks stocked.

Can I take card payments?

You can record payments of any method (cash, cheque, card terminal, bank) against an invoice and a numbered receipt is emailed. Online card payment inside the customer portal is still in development, so it is off by default.

Billing

How is pricing set and can it change?

Plans and add-ons are set by the platform operator and shown on the Pricing page, which reads the same rows the operator edits. Existing subscribers keep their plan if it is retired; price changes are communicated ahead of the next renewal.

What happens if a payment fails?

Your subscription enters a grace period (10 days by default) with full access. If it is not resolved by then access pauses until payment succeeds; your data is untouched.

How do I cancel, and what happens to my data?

Cancel from Settings → Billing (through the Stripe billing portal) or by contacting support. Your data stays available to export for a 30-day retention window after cancellation; it is then permanently deleted by a scheduled task.

Data & security

Who owns the data?

You do. Export any table as CSV at any time or prepare a full ZIP export from Settings → Export. See Data handling for what is stored, where and for how long.

Where is my data stored?

On the platform's own server in the United States, behind Cloudflare. Calls, SMS, AI and email pass through Twilio, OpenAI and your SMTP provider as described on the Data handling page.

Can other companies on the platform see my data?

No. Every database query is scoped to your company by a fail-closed extension and the database refuses rows without an owner. Sessions are bound to your company's address, and platform staff can only enter your account with a recorded reason for a limited time.

Is there two-factor authentication?

Not yet. Passwords are hashed with argon2id, 12 characters minimum with mixed case and a digit, with lockout after repeated failures. MFA for owner, admin and platform roles is planned.

Support

What support is included?

Email support through the address on the Contact page, plus the in-product setup wizard and checklists. Enterprise plans are sold by conversation and can include custom terms.

Can ChatGPT or Claude work in my account?

Yes, on plans with AI assistant connections. Settings → Connected apps issues an MCP connection that acts as the person who connected it, with exactly their permissions, and every change is in the audit log.
